Build Labs

Case studies

The systems our clients run their days on.

Public websites, dispatch boards, fleet platforms, ERPs, and hiring pipelines, built for clients across seven industries. Focused builds launched in about a month; full platforms ran six months and more, shipped in working pieces every week.

01 · Parks & recreation

A park district website wired directly into RecTrac

Deep system integration
RecTrac

The problem

The site had aged into a brochure while the real work happened in RecTrac. Every program, season and schedule change had to be entered twice, so the website drifted out of date between seasons. Patrons who arrived wanting to register, reserve or pay found a page of text and a phone number, and called the district instead.

What we built

We rebuilt the site around the tasks patrons actually come for and integrated it deeply with RecTrac, so programs, availability and registration flow from the system of record instead of being copied by hand. Staff own day-to-day content directly. It is mobile-first, because that is how most patrons arrive.

The outcome

Patrons register, reserve and pay without calling. Staff stopped maintaining the same information in two places, and the site now reflects what the district actually offers on any given day.

02 · Field services

A dispatch app that took scheduling off the whiteboard

Illustrative screens in the style of the build

The problem

Scheduling lived on a whiteboard and in text threads. The office had no live view of where crews were, changes meant phone calls, and jobs slipped through the gaps between systems.

What we built

We built a dispatch board the office runs from a browser: drag-and-drop scheduling, crew assignments, and job status at a glance. Technicians get the day's jobs, site details, and history on their phones, and customers get automatic appointment notifications.

The outcome

Scheduling moved into one system the whole company can see. The office stopped rebuilding the schedule by hand and dispatch changes stopped requiring a round of phone calls.

03 · Logistics & transportation

A fleet management platform that knows where every vehicle is

Illustrative screens in the style of the build

The problem

Fleet information was scattered: vehicle locations in one tool, maintenance records in spreadsheets, driver assignments in someone's head. Preventable breakdowns and idle vehicles were costing real money.

What we built

We built a fleet platform with a live map of every vehicle, maintenance schedules driven by mileage and service history, and driver assignment in one view. Alerts flag overdue service before it becomes a roadside breakdown.

The outcome

The company got a single operational picture of its fleet. Maintenance became scheduled instead of reactive, and dispatchers assign vehicles based on where they are, not where they might be.

04 · Package distribution

An ERP built around how a package distributor really operates

The problem

Off-the-shelf ERPs wanted the business to work the ERP's way. Orders, inventory, routing, and billing lived in disconnected tools, and staff bridged the gaps by re-keying data between them.

What we built

We built an ERP shaped around their actual operation: order intake feeding inventory and routing, delivery workflows for the way their drivers run, and billing generated from completed work instead of typed from memory.

The outcome

One system now carries an order from intake to invoice. The re-keying between tools is gone, and the business runs its own workflow instead of a software vendor's.

05 · Construction

A construction management app for jobs, crews, and paper trails

Illustrative screens in the style of the build

The problem

Project information was split across paper, texts, spreadsheets, and memory. Daily progress, site photos, and change documentation were hard to find when disputes or questions came up weeks later.

What we built

We built a construction management app where each job carries its schedule, daily logs, site photos, and documents. Field staff record progress from their phones, and the office sees every job's status without driving to the site.

The outcome

Every job now has a searchable paper trail. Questions that used to mean digging through texts and truck cabs are answered in seconds, and the office and field finally look at the same information.

06 · Sales-driven SMB

A CRM that matches how the team really sells

Illustrative screens in the style of the build

The problem

Generic CRMs came with per-seat pricing and someone else's idea of a sales process. The team tracked the real work in spreadsheets on the side, which meant the CRM was always out of date.

What we built

We built a CRM around their actual stages, fields, and follow-up rhythm. It connects to their email and the tools they already use, so updating the pipeline happens in the flow of work instead of as homework.

The outcome

The side spreadsheets went away because the CRM finally matched reality. Management sees a live pipeline, and the per-seat subscription bill is gone.

07 · Staffing & recruiting

An ATS that moves candidates instead of losing them

Illustrative screens in the style of the build

The problem

Candidates arrived by email, job boards, and referrals, then lived in inboxes and spreadsheets. Good candidates went cold waiting on next steps nobody was tracking.

What we built

We built an ATS with a clear pipeline view: every candidate's stage, next step, and history in one place. Interview scheduling, feedback capture, and status updates keep candidates moving without recruiter memory as the system of record.

The outcome

The firm can see its whole candidate funnel at a glance. Follow-ups stopped depending on memory, and fewer strong candidates slip away in the gaps between stages.
